KDC Terms, Conditions and Studio Policies
These policies are reviewed periodically to ensure they remain appropriate and effective.
Please read the following Terms and Conditions carefully.
Payment Policy
• All payments made to KDC are non-refundable and non-transferable under any circumstances.
• Course or term fees must be paid before the first session of the term.
• Failure to make payment by the deadline will result in a late payment fee of £1.50 per day added to the outstanding balance. This must be paid before the first session of the term.
• Course or term fees must be paid in full regardless of attendance or alternative commitments, as payment secures your child’s place within the class for the duration of the term.
• When making payment, your child’s full name must be included as the payment reference to ensure accurate processing.
Performance and Event Participation
• As soon as KDC receives an invitation to perform or participate in an event, information will be shared within the relevant class WhatsApp group chat.
• Occasionally events may be confirmed at short notice; however, we will always endeavour to provide as much notice as possible.
• All dancers are expected to participate in performances and events unless there is a valid reason preventing attendance.
• If a dancer cannot participate, parents/carers must notify KDC as soon as possible, providing the reason for absence.
• Dancers must attend all rehearsals leading up to performances and should practice at home using the videos and music provided.
• All performance information will be communicated via WhatsApp groups and or email. Parents/carers are encouraged to star important messages for easy reference.
Uniform Policy
To maintain a professional appearance and promote team identity, all dancers must follow the KDC uniform policy for every class and rehearsal.
• All dancers must wear their KDC T-shirt to every class.
• Hoodies or jumpers are not permitted unless they are KDC branded.
• Acceptable bottoms include jogging bottoms, leggings, or shorts.
• Denim clothing is not permitted.
• Footwear must be trainers suitable for dance and physical activity.
Failure to follow the uniform policy may result in dancers being asked to sit out of the class or rehearsal until appropriate attire is worn.
Behaviour Expectations
At KDC, we aim to create a positive, inclusive, and respectful environment where all dancers feel safe and supported.
• Show respect towards teachers, assistants, fellow dancers, and venue staff at all times.
• Listen carefully and follow instructions given by the teacher.
• Demonstrate a positive attitude and good sportsmanship.
• Treat all equipment and facilities with care and respect.
• Avoid disruptive behaviour that may impact the learning experience of others.
Repeated disruptive or inappropriate behaviour may result in a verbal warning, discussion with parents/carers, or temporary removal from the class if behaviour continues.
Class Punctuality
• Dancers should arrive on time and ready to begin the class.
• Late arrivals may miss important warm-ups or instructions, which are essential for safety and injury prevention.
• If a dancer arrives significantly late, they may be asked to sit out until a safe point in the class to join.
• Parents/carers should ensure dancers are collected promptly at the end of the class.
Health and Injury Policy
• Parents/carers must inform KDC of any medical conditions, injuries, or physical limitations that may affect participation.
• Dancers should not attend class if they are unwell, injured, or unable to safely participate.
• If a dancer becomes injured during class, appropriate first aid will be administered and parents/carers will be informed.
• KDC instructors may modify or restrict participation if a dancer appears unable to safely complete activities.
Parent Communication Policy
• Important information and updates will primarily be shared through class WhatsApp groups and or email.
• Parents/carers are encouraged to check these groups regularly to ensure they do not miss important information.
• Performance details, rehearsal schedules, and event information will also be shared via these groups.
• For private queries or concerns, parents/carers should contact KDC directly rather than through the group chat.
• Respectful and appropriate communication is expected from all members of the KDC community.
Safeguarding and Child Protection Policy
At KDC, the safety and wellbeing of all dancers is of the utmost importance.
• All children will be treated with respect, dignity, and fairness.
• KDC will maintain a safe learning environment where dancers feel comfortable and supported.
• Instructors and assistants will act in a professional and appropriate manner at all times.
• Any safeguarding concerns will be addressed sensitively and in accordance with safeguarding guidance.
• Parents/carers must ensure emergency contact details are accurate and kept up to date.
